Dear PTC family,

Due to an increase in the requests for Group Reservations, we would like to remind you the Group Policies that will allow us to provide you with a better service.

 

Thence we kindly remind you that groups From 10 rooms until 19 rooms the policies are the following:

1.The member that requests a reservation will be responsible for the entire group, both, for good behavior and for the full information to complete reservations.

  1. The member must confirm via e-mail that he/she agrees with the group policies to proceed with the reservation.
  2. Requests for Group Reservations can be held 90 days before the check in date.
  3. In order to proceed with the reservation you need to fill out a “Rooming List” your agent will explain to you how to complete this form, where detailed information about types of suites, check in and check out dates, adults and kids in each room, and the rates will be specified.
  4. Once we receive the “Rooming List”, we will proceed to make the reservation
  5. The member must cover a 30% of the total, this payment must be completed 15 days after the reservation is confirmed. Your agent will specify this in the email.
  6. The member is allowed to cancel up to 14 days after the reservation is confirmed.
  7. The lack of payments will result in the cancelation of the Group.
  8. Requests for Group Reservations are subject to hotel availability, the price can vary from single reservations.

Request for Groups from 20 to 99 suites:

  1. The members that request Group reservations are responsible for gathering the information to complete the reservation.
  2. Requests for Group Reservations can be held 90 days before the check in date.
  3. In order to proceed with reservation you need to fill out a “Rooming List”; your agent will explain to you how to complete this form, where detailed information about types of suites, check in and check out dates, adults and kids in each room, and the rates will be specified.
  4. A contract will be drawn up between the member and the Reservations Department, here we will specify conditions and benefits for the Group and a payment calendar. This contract refers to the “Rooming List”
  5. Once the contract is signed by the Member and the Representative of the Reservations Department, we will proceed for the creation of this group.

Full cancellation:

In the event that the Member decides to cancel he/she has to send an e-mail requesting the cancellation and must state the reasons to cancel the Group.

Full cancellation has the following scheme:

Allowed 89 to 60 days prior to arrival The Hotel retains 30% of the total revenue of the Group
Allowed 59 to 45 days prior to arrival The Hotel retains 50% of the total revenue of the Group
Allowed 44 to 15 days prior to arrival The Hotel retains 75% of the total revenue of the Group
Allowed 14 to 8 days prior to arrival The Hotel retains  85% of the total revenue of the Group
Allowed 7 days or less before  the arrival date The Hotel retains 100% of the total revenue of the Group

 

 

PARTIAL CANCELLATION POLICY

In the event that the Member decides to cancel some of the rooms previously requested, he/she has to send an e-mail specifying how many rooms will be cancelled. The following penalties will apply:

  1. Up to 12 weeks prior to the arrival and for cancellations of less than 10% of the total number of rooms requested and reserved, Member will not pay any penalty.
  2. Up to 12 weeks prior to the arrival and for cancellations over 10% of the total number of rooms requested and reserved, Members will pay the same as mentioned above, in the full cancellation section.
  3. Between 12 weeks and 8 days prior to the arrival for cancellations over 5% of the total number of rooms, Members will pay same as mentioned above in the full cancellation section.
  4. Within 7 days before arrival and no show cases, for each room cancellation, as penalty, the Member will pay the 100% of the room cost.

We understand that each group is different and reasons for traveling vary, therefore, do not hesitate to provide your agent with information about your group and the reason for it. We remind you that these policies are designed to give your group the best attention and service upon arrival.
